Title: Senior Administrative Assistant - 71159
This position provides full administrative support to the Senior Vice-President (SVP) of Worldwide Construction & Forestry (C&F) Product Engineering, Manufacturing, Supply Management and Quality, Vice-President Excavators and Mining Supply, Global Director of Product Supply and Director of Business Development. In addition you will:
Create and maintain records, correspondence, calendars, expense reports and confidential information for the SVP and on behalf of his Global Directors
Schedule meetings and coordinate domestic and international travel arrangements (including visa's and passports) for the senior executives
Facilitate SVP staff meetings, coordination of agendas, facilitation of meetings and documentation
Coordinate the reporting and distribution of SVP global metrics
Process purchase orders in the common purchasing system
Facilitate workflow through the SVP and Global Directors and produce reports and presentations which often contain sensitive or confidential information.
Provide on-site support and access for various consultants and serve as a point of contact for visitors
Process information flow and communication response for inquiries on behalf of SVP and Global Directors

Ability to multi-task and prioritize multiple projects while initiating action and manage office without frequent or detailed work instruction
Ability to work with high levels of management
Ability to handle confidential information
Website management skills
Project management skills
Five or more years’ administrative assistant experience
Five or more years’ experience in using Excel, Microsoft Word, PowerPoint, Access, Project and other Microsoft tools
Ability to utilize electronic tools such as Common Purchase System (CPS process purchase orders), video conferencing, MS Teams platform and travel & expense reporting system
What Makes You Stand Out
Experience in an administrative role supporting executive level personnel
Ability to flex working hours as needed with minimal notice
Education (or equivalent work experience)
Ideally you will have a degree or equivalent related work experience in the following:
- Associates degree with bachelor’s preferred or equivalent experience in a related career field
